HOW IT WORKS

Everything Handled. You Focus on the Event.

Event mailings are different from monthly campaigns. The list changes every time. The design has to feature specific dates and venues. Here's exactly how we make it easy.

01. Tell Us About Your Event

One call. Event type, date, venue city, and who you want in the room. That's all we need to get started. We'll ask the questions you haven't thought of yet.

02. We Pull a Targeted List & Quote

We build a mailing list for your event's specific location — filtered by age, income, homeownership, or other demographics. You get a count and a quote before you commit to anything.

03. Design Is Built and Approved

We design your event invitation postcard and send you a proof. For repeat clients, we update your existing design — new date, venue, and details — without starting from scratch.

04. Postcards Hit Mailboxes

We handle printing, addressing, and delivery to the postal facility. You get tracking confirmation when the mailing drops — nothing falls through the cracks.

PLANNING TIMELINE

When to Call Us — And When It Might Be Too Late

Event mailings have hard deadlines — postcards that arrive after the event are worthless. Here's an honest breakdown of what's possible at each planning horizon, so you know exactly where you stand.

TRANSPARENT PRICING

Event Mailing Pricing Varies by Event Type

The Fastest Way to Get a Price Is to Call Us. Tell us your event type, target audience, and date. We'll pull a list count and have a quote back to you the same day — no commitment required.

Three factors determine your price:

Quantity

More pieces = lower cost per piece, higher total. Most event mailings run 1,000–15,000 pieces depending on event type, venue capacity, and qualifying households within your target radius. We'll pull a count before you commit — no charge for that.

List Type

Neighborhood saturation or targeted consumer lists filtered by age, income, homeownership, net worth, occupation, and more — so your postcard reaches exactly the right audience for your event.

Postcard Size

Standard 6×9 is our most common event format — larger than a standard letter, it stands out the moment someone pulls it from the mailbox. Other sizes are available.

Event Marketing FAQ's

We can turn around a same-day list count and quote on the first call. From there, the timeline depends on where you are in the process. If you have a print-ready design file already completed, your realistic minimum is around 2 weeks — production and postal delivery runs 10–14 days once we have the file. If you need us to design the postcard, add another week minimum — design proof typically takes 3–4 days, and you'll need time to review and approve before we can go to press. That puts the realistic minimum closer to 3 weeks when design is included. Six or more weeks out gives you the most flexibility. If you're closer to your event date, call us — we'll tell you honestly what's achievable.
It varies significantly by event type, venue capacity, and how filtered your audience needs to be. Financial dinner seminars targeting age 55+ with $100K+ household income typically run 1,000–3,000 pieces — the audience is narrow enough that the list filters the volume naturally. Church and community events with broad neighborhood reach often run 1,000–2,500 pieces within a tight radius. Home show exhibitors, dealer sales events, and open events with broad appeal often run 2,500–7,500 pieces. The right number is determined by your event venue capacity, the density of qualifying households within your target radius, and your budget. The fastest way to figure this out: call us, tell us your event type and venue city, and we'll pull a count of qualifying households within your target radius before you commit to a quantity. There's no charge for a list count.
For most event types, EDDM is the wrong tool. EDDM sends to every address on a carrier route — including renters, apartments, and households that don't match your target audience. A financial dinner seminar invitation sent to a 24-year-old renter is wasted spend. A gold buying event postcard in a student neighborhood is wasted spend. Most event marketing works because the invitation reaches the right person — the right age, income bracket, homeownership status, and proximity to the venue. Targeted consumer lists let us filter precisely so every piece is going to a qualifying household. Beyond targeting, EDDM Retail is self-serve: you pick carrier routes, print and receive postcards, create facing slips, sort and band the mail yourself, and drive it to one or more post offices for drop-off. For an event with a hard deadline, that's operational risk most event organizers don't want. We handle everything — design, list, print, addressing, and postal delivery — so you can focus on the event itself.
It depends on your event model. If you run the same type of event in the same metro area repeatedly — financial dinner seminars, monthly gold buying events, quarterly auctions — we can reuse the same geographic pull with updated targeting, which speeds up the process considerably. If your event moves to a different city or venue, we pull a fresh list for that location's radius. Many event clients also maintain a house list of past attendees, registered prospects, or donor databases. We can mail to your house list alone, to a new acquisition list, or merge both into a single mailing to maximize reach. House lists are always free to mail to — you're only paying for postcards, not list acquisition. Call us and we'll walk you through what makes sense for your specific event cadence.
Five essentials for any event postcard: event name, date and time, venue and location, a compelling reason to attend, and a clear RSVP mechanism. Beyond that, the specifics depend on the event. Financial dinner seminars convert best when they emphasize the complimentary dinner and limited seating — scarcity and a free meal are powerful levers for that audience. Nonprofit galas need elegant design that signals the prestige and purpose of the event. Gold and estate buying events need bold urgency language, specific dates, and "no appointment needed" to reduce friction. Church outreach mailings perform best when the design is warm, community-focused, and visually distinct from junk mail. One element that improves almost every event postcard: a deadline. "RSVP by [Date]" or "Seating limited to 30 guests" gives recipients a reason to act now rather than set the card on the counter and forget it.
Yes — and high-frequency event clients are some of our most consistent relationships. Financial advisors running 2–4 dinner seminars per month, auction houses mailing for every sale, and gold buying companies with weekly traveling events all benefit from having a standard design already approved and on file. We build a standard design for your event type once. Each new event — new date, venue city, updated details — is updated and ready in days rather than starting from scratch. The mailing list for each event is pulled fresh for that event's specific location and radius. Billing is per-event rather than monthly, with volume pricing available for clients mailing frequently. If you're running more than one event per month, call us and ask about getting a standard design set up. It's the fastest, most cost-effective way to operate at that cadence.

Tell Us Your Event. We'll Handle the Rest.

Event date. Venue city. Who you want in the room. That's all we need to pull a list count and give you an exact price — in a single call. No pressure, no obligation.
