Enhanced Data Processing
for Direct Mail Lists
As a general rule of thumb postages costs represent about 70% of the total cost of a mailing project.Duplicate Record Removal and NCOA Move Updating are two data processing services we offer that can help you substantially reduce postage costs.
NCOA Move Updating
According to Postal Service data- 20% of the population moves every year. The percentage is even higher for the number of businesses that relocate each year. The NCOA process compares each record in your mailing list against a database of all Change of Address forms the Post office has received in the last 12 months. If anyone on list has submitted a change of address form – your list will be updated with the new address information.
Duplicate Record RemovalOur software searches your mailing list for duplicate records and removes them. It’s pretty easy to understand that mailing more than one mail piece to the same recipient is a waste of money. By removing duplicates you will reduce the costs of your mailing – not to mention it tends to annoy people when their mail box is filled with copies of the same thing.
Options for duplicate removal
- Name and Address (default) – requires both the name and address fields to match to be considered a duplicate.
- Address Only- requires just the address fields of the records to match. This option is typically used when you want multiple recipients at the same address to receive your mail piece.
Process Limitations- both the duplicate removal and NCOA move updating process are automated processes that are subject to limitations. Because the Postal Service does not want mail inadvertently forwarded to the wrong recipient it requires that in order to update a record with the new address it must be an exact match. Similar to NCOA- the duplicate removal software will only detect exact matches – if there is a variation between the name and address fields of the records the software will not classify them as duplicates
